Use of Minor's Image and Voice

Delegates Beyond Borders

At Delegates Beyond Borders (DBB), we document some educational activities, workshops, conferences, and trips through photographs, videos, and voice recordings. This page explains how we inform families and how we request their decision before sharing material that could identify a minor.

Privacy During Registration

Each registration form must display a short-form privacy notice before it is submitted. This notice explains why the information requested in that form is collected and links to the Comprehensive Privacy Notice. The short-form notice is adapted to each program and to the information actually collected.

Registering, submitting a form, or reading this page does not constitute authorization to publish a participant’s image or voice.

A Separate Authorization

When DBB intends to share identifiable material featuring a minor participant, it will request specific authorization from the participant’s mother, father, or legal representative. The form identifies the participant and the activity, explains the permitted uses, and allows the parent or legal representative to choose I AUTHORIZE or I DO NOT AUTHORIZE, with neither option preselected.

 

The decision is requested during registration or enrollment, before any identifiable material is published. Refusing authorization does not affect enrollment, participation, or continued participation in the program.

Purposes and Publication Channels

If the family authorizes its use, DBB may use material from the specified program or activity to communicate its educational experiences, share its academic work, and promote its educational programs and services. The authorized channels are DBB’s official website and its official Instagram and Facebook accounts.

Any additional use must be expressly covered by the corresponding authorization. Family authorization does not require DBB to publish the material.

Protecting Image and Voice

DBB will respect the participant’s dignity, privacy, and safety and will take the participant’s views into account according to their age and maturity. DBB will not share material that could expose or harm the participant, even when family authorization has been granted.

If the family does not authorize use, DBB will avoid publishing identifiable material featuring the participant. It may select other images or footage, crop or obscure the participant’s image, or refrain from publishing the material. DBB will also ensure that the participant’s voice or other elements do not make them identifiable.

Term and Revocation

The authorization establishes a maximum term of seven years from the date it is granted for the specified program or activity, unless it is revoked earlier or a shorter period applies. Once the participant reaches the age of majority, they may exercise their rights directly.

To request revocation, write to info@dbbmun.org and identify the participant, the activity, and the material or use to which the request refers. DBB will discontinue new identifiable uses and will address removal of the material from channels under its control in accordance with the applicable procedure. Copies downloaded or shared by third parties may exist outside DBB’s control.
